Program Settings (Sessions 2.0)

Agenda Settings, Criteria, Personas, Rooms, Tracks, Tags, Levels, Formats, Languages, Files, Roles, Statuses

Program Settings can be accessed from the Program module and will replace "Session Settings" when Sessions 2.0 is enabled.
Configuring your program settings helps ensure a more efficient program management process, from reviewing submissions to organizing your agenda.

Agenda Settings
are used to customize key parameters for organizing and structuring the various agenda views. Here’s a breakdown of the settings:

  • Day Start Time and Day End Time: Defines the overall start and end times for the event agenda. These settings establish the earliest and latest times that sessions can be scheduled during each event day.
  • Interval: Controls the time incremented when dragging to create and re-size sessions.
  • Agenda content: Decide whether your agenda displays session-based items, abstract-based items, or both, using filter settings to control each view independently.

    Sessions (non-abstract program items): Live presentations, workshops, or talks where content is delivered directly to an audience.

    Abstracts: Short summaries (150–300 words) of a research paper or presentation, highlighting its purpose, methods, and key findings.
  • Program Statuses: Allows event teams to manage and schedule sessions with a variety of statuses, not just those that are accepted. In the example above, only sessions with the statuses “Accepted”  “Accept Queue” and "Pending" are included in the agenda view.
  • Program Format and Default Duration: Enable organizers to set a default duration for a specific session format. These default durations provide a preset duration for each session type, streamlining the scheduling process.
  • Room Visibility: Identify what rooms are visible when scheduling sessions for your Agenda (Rooms View).

Criteria

Criteria are rules or parameters used to organize your program and prevent conflicts. You can either define your own or choose from a set of suggested options. Selecting Criteria from the Program Settings module will direct you to the Library, where the event criteria and suggested criteria are displayed:

This is your event criteria library. You can add, remove, and edit your criteria here to help generate draft agendas.

Once an event criterion has been created, select the ellipsis to edit, duplicate, or delete it.

 

When editing a criterion:

  • Use this criterion for insights and conflicts: Enable the utilization of the criterion within conflict detection as you build your agenda.
  • Use contact/session fields for context: Select the contact or session fields that Sessionboard should reference to apply the criterion accurately.
  • Use program fields for context: Select program fields that provide context for this criteria.

Suggested Criteria

Suggested criteria are generated by AI and may not be perfect. You can add the criteria to your event criteria by selecting the plus icon.

Personas

Personas are AI-powered virtual evaluators designed to review your sessions from a variety of perspectives. Each persona is tailored to reflect a specific role, audience type, or area of expertise—such as a technical expert, first-time attendee, or executive decision-maker.

By using these personas, you can gather comparative feedback that reflects diverse viewpoints, helping you assess content quality, relevance, and impact more thoroughly. This feature streamlines your evaluation process while providing deeper insights into how your sessions resonate across different audiences.

Create A Persona

You can create as many Personas as you'd like. Personas can not be imported/bulk-created at this time. 

Feel free to use the 3 default personas available to you (NOTE: These can not be edited).

In the top right corner of the Personas section, click the blue “Add Persona” button.

Within the pop-up modal, complete the following fields:
  • (required) Name: Enter the persona’s name (e.g., Jordan Lorem).
  • (required) Role: Define their professional role or perspective (e.g., Thought Leader).
  • Biography: Add a short description of the persona’s background and expertise to help contextualize their feedback.






 

  • Select a Feedback Style: Choose one of the available styles to guide how this persona provides evaluations:
    • Positive
    • Neutral
    • Constructive
    • Critical

                     
  • Define Preferences:

  • Likes (3): Enter up to three types of content or qualities this persona prefers (e.g., “Engaging storytelling,” “Data-backed insights”).
  • Dislikes (3): Enter up to three types of content or issues the persona tends to critique (e.g., “Generic content,” “Overly technical jargon”).

 👉🏽NOTE Understanding the difference between constructive and critical feedback is key to delivering effective evaluations:

  • Constructive feedback: Aims to support improvement by offering specific, actionable, and solution-oriented guidance.
  • Critical feedback: Highlights issues or shortcomings but may not provide clear direction on how to improve.

Sessionboard Tip💡Use TIERS to create an effective persona:

T - Task: Explicitly define the desired output (format, length, action).I - Instructions: Define the success criteria and decision logic. What makes a "good" vs "bad" output?E - Examples: Add relevant background details (customer plan, tone). Provide examples of inputs with expected outputs.R - References: Provide documents or links for company alignment. Add your event link in your Event DetailsS - Sharpen & Iterate: Adjust the prompt based on the AI’s response to refine results.

Once complete, click the 'Create' button at the bottom to add it to your custom personas list.

These custom personas can now be assigned to evaluate sessions, providing AI-generated feedback aligned with the traits you defined.


When building an event agenda, the fields rooms, tracks, tags, format, level, languages, and status help categorize and organize sessions for better navigation and filtering.

IMPORTANT NOTE❗️: Rooms, Track, Level, Format, and Language are single-select dropdown fields. Tags is a multi-select field. 

Rooms

Specify the physical rooms or virtual locations where sessions can be hosted

  • Example: “Ballroom A,” “Exhibit Floor 1,” “Banquet Hall”

  • Order: Use room order to organize how the agenda embed is displayed. Rooms will be ordered horizontally from left to right, from lowest to highest ascending order. If rooms are all in the same order level (e.g. 0) or the room value cannot be found, rooms will be displayed alphabetically.

  • Capacity: Indicates the maximum number of people that can fit within this room. The capacity for rooms will be visible within your agenda view, but not within embeds.

    • Limit: 100,000

Tracks

These are broad thematic categories that group sessions under a specific topic or focus area. Tracks are typically used by attendees to filter the event agenda.

  • Example: “Facilitation and Programming,” “Industry and business,” “Post-Conference”

NOTE: The color associated with each track will also be reflected in the admin agenda view as well as the embeds.

Card Colors: On the left-hand side, you’ll find the option to customize your agenda’s color view by choosing to display it by track, status, room format, level, or tags:

Tags

More flexible, granular keywords to enhance session organization, filtering, and searchability.

  • When managing multiple sessions, admins can quickly locate specific ones by searching for assigned tags rather than relying on session titles or descriptions.
  • Admins may use tags to track specific attributes like “Sponsored Session,” “Live-Streamed,” or “On-Demand” to manage how sessions are presented and categorized within the platform.
  • Tags can help with reporting by allowing admins to pull reports on sessions grouped by specific themes, making it easier to analyze trends and engagement.

Levels

Indicates the expertise required or expected knowledge level of attendees.

  • Example: “Beginner,” “Intermediate,” “Advanced”

Formats

Defines the session style or structure.

  • Example: “Panel Discussion,” “Workshop,” “Keynote,” “Roundtable”

Languages

Specifies the language in which the session will be conducted.

  • Example: “English,” “Spanish,” “French”

Files

Sessionboard offers an intuitive experience for speakers to upload files associated with their session and communicate with the event team. With a generous file size limit of 1.95 GB per file and built-in tools to manage versions and comments, our solution lets you regain control of the content management process.


Roles

Configure how participant roles are displayed for the event by mapping each role to a category, such as Speaker, Chairperson, or Moderator:

  • Category: This refers to how this role should be represented when synced to integrations or displayed in Embeds.

  • Participants: Indicates the number of participants per role (e.g., the example below shows 110 Speakers, 3 Chairpersons, and 1 Moderator)

  • Manage: When enabled, this role appears under Event → Contacts.

For added flexibility, if your organization uses different terminology for these roles, you can customize them by clicking the ellipsis (⋯).

Alternatively, you can click the blue Add Role button to create a new one:

Add Role: Allows you to define a custom role by specifying a singular and plural name, based on your organization’s preferred terminology.

  • Category: Select whether the new role falls under Speaker, Chairperson, or Moderator. This determines how the role is represented in integrations and embeds.
  • Role Icon: Choose an icon for the role from the dropdown menu (e.g., microphone, graduation cap, etc.).
  • Manage in Contacts: When enabled, this role appears under Event → Contacts in the sidebar, alongside other managed roles:

  • Once complete, click Create button in the pop-up modal

Statuses

Customize your event by creating custom session statuses tailored to your event-specific workflows, ensuring efficient session tracking and management.

How to Create A Custom Status

  1. Select the blue Add Status button

  2. Edit the following fields for your new status:

    1. Status Name: The status name will be visible to users in the portal. 

    2. Status Category: All statuses must be assigned a category. When a category is assigned, the new status created will operate as the category assigned does.

      For Example: If a status is assigned an Accepted category, the session will sync to one of our integration partners if you are using an integration. 

    3. Color

    4. Order: The order will determine how the status appears within the dropdown list.

  3. Once complete, click Create button in the pop-up modal.

Moving forward, custom statuses can be assigned to sessions using the Status field.
