How to Merge Duplicate Contacts in the CRM

Merging duplicate contacts is only avaible through the CRM.

Maintaining clean, accurate contact data ensures seamless communication and speaker management across your events. If you’ve identified duplicate contacts in your CRM, you can easily merge them using the built-in merge tool.

❗️IMPORTANT INFORMATION TO KNOW❗️:

  • Up to 3 contacts can be merged at a time.
  • Deduping contacts is only available in the Speaker CRM.
  • Merging of contacts cannot be undone.
  • Event-level fields, notes, and additional contacts are inherited from the primary contact. We recommend exporting your contact data prior to merging if you wish to keep a backup of historical data.

Follow the steps below to merge duplicate contacts:

  1. Within the CRM, navigate to the Contacts module and select the pencil icon to the left of a record that has a duplicate contact.

  2. A new page will open, displaying the contact's profile with a mention of the number of duplicate contacts identified at the top of the page. Select "Merge Duplicates" to begin consolidation. 

    NOTE: Duplicate contacts are identified by a 70-80% match within the contact's email or name.

  3. Select the checkboxes next to the contacts you’d like to merge. Within the column "Primary," select the contact who will remain as the primary contact. Once complete, select the blue "Next" button in the bottom right-hand corner of your screen. 

    NOTE: You must select between 2-3 contacts to merge at a time.

  4. A comparison screen will appear, displaying both contact records side by side. Review the list and choose which values you’d like to retain for the primary contact. When you’re ready, click “Merge” in the bottom right-hand corner of your screen to complete the process. 

    NOTE: Event-level fields, notes, and additional contacts are inherited from the primary contact. We recommend exporting your contact data prior to merging if you wish to keep a backup of historical data.

  5. You’ll see a confirmation message once the merge is successful. The selected data will be retained, and the duplicate record will be removed from your database.

Additional Information 

  • Merging updates will appear on the contacts history page.
  • The primary contact's event portal assignment may change if the filters associated with the assigned portal no longer match the merged fields.
  • Previously completed tasks by all merged contacts will be visible in the event portal.
  • The History module will continue to show all emails that were previously sent to merged contacts.
